Work schedule will include evenings, weekends, and holidays based on departmental needs.
Essential Duties and Responsibilities Assists team with the development, planning, preparation, and execution of citywide special events and festivals Engages with a diverse population of people, and maintains excellent customer service Assists with vendor processing including gathering quotes, creating contracts, scheduling services, and collecting paperwork and invoices Compiles comprehensive reports, survey data, and meeting agendas Manages outdoor event applications by collecting, reviewing, and routing the applications; assists applicants to ensure completed submissions Organizes and maintains physical and/or electronic records for assigned area Facilitates correspondence via calendar invites, reminders, and follow-ups when necessary Assists in identifying new event sponsor relationships Assists with purchasing, taking inventory, and organizing supplies for events Researches and proposes enhancements to event aesthetics, activities, and programs Responds to routine calls and in-person inquiries Ensures communication sent via mail, fax, or phone is distributed Performs general office tasks such as copying, mailing, sending fax, and shredding Ensures a safe environment at events and festivals Follows City policies, procedures, and safety guidelines Performs other duties as assigned Minimum Qualifications Combination of education and experience equivalent to an Associate's degree in Business Administration, Accounting, or related field Four (4) years of experience assisting in event planning or related area Intermediate skill level with Microsoft products Preferred Qualifications Experience working with a governmental agency in related field Certificates, Licenses, Registrations Valid driver's license CPR/AED certification or able to obtain within 6 months of hiring Thank you for your interest in the position.
